Job Title: Executive Secretary
To manage the executive office and MD&CEO’s agenda to ensure that all executive office activities are carried out in a professional, timely and confidential manner
Key Accountabilities / Responsibilities
Ensure the effective flow of work between the executive office and all the related departments and parties.
Act as the point of contact between the executives and internal/external clients
Manage Company's Board related activities of the MD&CEO, including scheduling, meeting, documenting and reporting
Conserves MD&CEO’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
Manage the arrangement and appointments agenda of the MD&CEO in all meetings, interviews, visits, occasions and normal or ad-hoc activities.
Assist the MD&CEO with managing his travel arrangements (planning itineraries, developing agendas and meeting materials, reporting expenses, etc.).
Manage the in and out communications system such as; telephone calls, messages and, transactions etc.
Draw-out transactions and correspondences to MD&CEO and ensure that it’s in line with company policies & procedures.
Monitor the automated archiving system for all administrative work flow and correspondences.
Maintain and manage relations and communications with internal and external entities on behalf of the MD&CEO.
Coordinate between departments to follow up on action items for all MD&CEO direct reports.
Manage customer complaints to the executive office and escalate to the relevant departments as deemed appropriate.
Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
Maintain a high level of customer service in dealing with both internal and external customers in line with corporate quality service standards
Accountable for maintenance of the executive office budget and expenses
Maintains customer confidence and protects operations by keeping information confidential
Monitor & manage the entire executive office team
Provide support with other duties as required by the MD&CEO.
Qualifications & Experience
Bachelor’s degree in business management or commerce
Minimum of 7 years’ experience with 4 years working as managerial support
Proficiency in English and Arabic (must)
